South Africa - Meeting Management Tool Implementation and Support Service

Sasria seeks a fit-for-purpose, secure, and sustainable meeting management tool to meet its governance requirements and replace its incumbent platform. The scope includes solution design, configuration, data migration, cloud deployment, training, ongoing maintenance, and integration with Microsoft 365, SharePoint, and approved identity services. The work will be performed offsite, and the buyer is looking for financial and price proposals to determine the budget. Only onshore South African organizations are eligible to bid. Bidders must submit proposals digitally via Sasria's e-tender portal by 11 November 2026 at 12:00 pm; hand-delivered, posted, emailed, or faxed submissions will not be considered. All questions must be submitted no later than 4 November 2026. Application requirements include an executive summary, completed Annexure B, an OEM authorization letter, three signed reference letters, an SBD 4 form, an SBD 6.1 form, a valid B-BBEE certificate or sworn affidavit, a technical proposal, and a financial proposal. Evaluation follows a multi-level process assessing governance compliance, mandatory requirements, technical functionality, a solution demonstration, and price combined with specific B-BBEE preference points. Bidders must achieve a minimum score of 70 points in both technical functionality phase 2 and the solution demonstration to advance.
