RFI for Enterprise Asset and Work Management System

The issuing agency is seeking information on an enterprise asset and work management system capable of supporting a corporate system-of-record model, integrated financial governance, lifecycle asset planning, and phased enterprise implementation. The agency needs a solution that can integrate with existing municipal ERP, GIS, and lifecycle modelling tools while managing asset hierarchies, unique identifiers, and preventing duplicate datasets. The system must also manage assets linked to customers, properties, or service locations, including one-to-one and one-to-many relationships. The scope of work requires alignment with financial and capital planning, including integration with citywide asset management or lifecycle modelling platforms. The agency requires the ability to incorporate capital planning decisions and renewal programs into operational work programs and maintenance activities. Additionally, the system must support lifecycle cost tracking across the full asset life, from acquisition and maintenance to refurbishment and disposal. For work management and maintenance, the agency requires support for high-volume, repeatable service requests, asset interactions, and inventory optimization, including minimum/maximum levels and stock turn analysis. The system must track tools and equipment associated with maintenance activities, including assignment, usage, and availability. Mobile and field enablement is also required, specifically compatibility with ESRI portal and enterprise for mobile data access, real-time labor entry, inspections, and mobile work order updates. Eligibility is restricted to onshore respondents located in Canada only. The performance of the work will take place offsite. Respondents can submit their responses digitally via email or online, and the agency is currently looking for proposals to determine the budget.
