Cloud-Based Turnkey Asset Management System

The agency is seeking a cloud-based, turnkey Enterprise Asset Management system to replace or upgrade its current processes. The selected provider will deliver software licensing, configuration, implementation, data migration, integration services, training, documentation, and ongoing technical support. This project aims to establish a fully operational, tested system that integrates with existing fuel and mileage tracking software, known as EKOS, as well as future finance tools. The scope of work covers comprehensive asset management with the ability to capitalize and depreciate assets according to user-defined rules. The system must support work order management, preventive and predictive maintenance scheduling, and inventory tracking across multiple locations. Additionally, the platform must facilitate procurement and contract management, including hierarchical approval workflows for purchase requisitions based on cost thresholds. The agency requires robust reporting, dashboards, and analytics for operational, financial, safety, and procurement oversight. The provider must deliver a detailed implementation plan, execute a complete data migration of all historical assets, work orders, and financial records, and conduct role-based training for various staff groups. Ongoing technical support, system maintenance, and detailed documentation of all custom workflows and configurations are also required. Eligible bidders must be onshore organizations based in the United States. The performance of the contracted work must take place onsite at the agency facilities. Bidders may submit their proposals digitally via email or through the designated online portal, and the agency is currently looking for proposals to establish the project budget. The contract term will span a period of five years. The agency will host a pre-bid meeting on June 8, 2026, to address initial inquiries. Bidders must submit all clarification questions no later than June 12, 2026.
