Cloud Based Enterprise Asset Management System

The issuing agency is seeking a cloud-based enterprise asset management system to manage its assets, maintenance, inventory, and related operational workflows. The agency needs a solution that includes software licensing, configuration, data migration, integration services, training, documentation, and ongoing technical support. The system must track the lifecycle of vehicles, facilities, equipment, and other assets, with the ability to capitalize and depreciate assets according to user-defined rules and support asset hierarchies. For maintenance operations, the agency requires work order management that allows creating, assigning, scheduling, and tracking work orders across mobile and desktop interfaces. The system must support mechanic and shop user accounts, track labor hours, parts, outside services, and total costs, and configure preventive maintenance schedules based on time, mileage, usage, or condition. The agency also requires inventory and parts management to track quantities, locations, usage, and reorder points, alongside procurement features that allow purchase requisitions with hierarchical approvals and automated purchase orders. The selected contractor must provide a detailed implementation plan covering milestones, deliverables, staffing, communication, and risk management. The scope of work includes requirements validation, design, configuration, testing, and comprehensive, role-based training for mechanics, parts staff, supervisors, managers, finance staff, procurement staff, and IT personnel. The contractor must collaborate with the agency IT department to manage system access, role-based security, authentication, monitoring, backup, recovery, and cybersecurity compliance. Bidders must be onshore USA organizations only to be eligible for this opportunity. The contractor must perform all work offsite at their own office location.
