Online Activities Registration System

The agency is seeking an online activities registration system to manage program enrollments and facility bookings across more than 250 different geographic locations. The system must solve the challenge of coordinating complex user registrations, household management, and secure financial transactions. The scope of work covers three core areas, starting with robust account and household management that allows users to configure households, manage individual members, link members to multiple households, define guardian roles, and securely upload documents. The system must also provide real-time calendar access and comprehensive history tracking for all users. For activity and reservation management, the platform must support diverse registrations and feature automated scheduling with conflict prevention to allow simultaneous enrollments. Finally, the agency requires integrated Point of Sale capabilities, which must support online eCommerce payments via major cards and eChecks, as well as PCI DSS-compliant in-person payment processing for staff. Eligibility is strictly limited to onshore organizations based in the United States. The agency requires the selected vendor to perform all work offsite at the vendor's own office location. The agency is currently looking for proposals to determine the budget for this project. The procurement schedule includes a mandatory pre-proposal meeting on June 16, 2026.
