RFI for Student Records Management and Fulfilment Platform

The issuing agency is seeking information to identify a student records management and fulfillment platform. The agency aims to centralize and modernize historical student records management while improving records retrieval, retention, security, compliance, and fulfillment processes. The requested solution must address migrating records from legacy systems or servers, importing large quantities of PDFs or documents, and digitizing physical paper records. The scope of work covers indexing and organizing records into searchable formats, long-term archival and retention support, optical character recognition functionality, and metadata tagging capabilities. The agency also requires the ability to separate and categorize records, a workflow for transcript and records requests, audit logging, and records tracking. Respondents must provide information regarding typical implementation timelines, training and onboarding processes, software licensing or subscription costs, data migration services, and paper records digitization. Only onshore organizations based in the United States are eligible to participate in this market research opportunity. Performance of the work will take place offsite.
