Cloud-Based Public Records Intake, Response and Management System

The agency is seeking a qualified vendor to provide a cloud-based, Software-as-a-Service public records intake, response, and management system. This system must feature a public-facing submission portal for records requests and automate workflow routing, acknowledgment, and deadline tracking. The requested solution must also support document management, including versioning, redaction, and secure delivery, while maintaining a full audit trail and reporting dashboard. The project covers integration with existing systems, specifically Microsoft 365, Outlook, SharePoint, and PeopleSoft. The system must also enable multi-campus administration within a single platform. The agency requires the performance of all work to be conducted offsite over a contract period of five years. Eligible bidders must be onshore organizations based solely in the United States. The agency is looking for proposals to determine the budget for this initiative.
