Web-Based Vanpool Operations and Management Platform

The agency is seeking a vendor to provide a web-based vanpool operations and management platform to support the daily administration of participating vanpools. This platform must include vehicle leasing, rider management, centralized billing, fuel card administration, and reporting through a web-based or mobile application. The selected provider will deliver customer support for platform, billing, and rider issues, while maintaining an active support process within the application for resolving vehicle and service-related problems. The scope of work requires the provider to assign an account representative for ongoing contract administration and support. The agency requires access for designated personnel to ridership, billing, and reporting information, including monthly ridership participation status for a subsidy program and annual subsidy program activity reports. Additionally, the provider must deliver vehicle maintenance services, supply information regarding approved daily and weekend vehicle parking locations, and furnish one fuel card for each participating vehicle. Vehicles must be provided through month-to-month rental agreements, and the vendor must give reasonable advance notice of any planned system maintenance or service interruptions. Eligible bidders must be onshore organizations based solely in the United States. The performance of all contracted work will take place offsite. The agency is looking for proposals to determine the budget for this project. The contract period will span one year.
