RFI for Cloud-Based Recreation Management Software

The City of Austin is seeking information to identify comprehensive, fully hosted, cloud-based, and mobile-friendly recreation management software. The city operates an extensive park and recreation system with seasonal and year-round facilities, high program volumes, and a high volume of transactions. The city requires an intuitive, user-friendly system for both staff and customers that enhances user experience, improves operational efficiency, and supports long-term growth. The requested scope of work covers point-of-sale and payment processing, program and activity registration, league management and scheduling, and membership and pass management. The software must also handle childcare management, facility scheduling, equipment rentals, inventory management, and reporting and data analytics. Additionally, the system needs to support customer engagement through communications and marketing, residency verification, and system integration including single sign-on, real-time data synchronization, and compatibility with existing city systems. Eligible respondents must be onshore organizations based in the United States. The performance of the work will occur entirely offsite. The city is looking for budget proposals within the responses, which can be submitted digitally via email or online. All questions regarding this request for information must be submitted no later than June 18, 2026.
