VoIP Private Branch Exchange Telephone System Replacement and Implementation Services

The Marquette-Alger Regional Educational Service Agency in Negaunee, Michigan is seeking a complete Voice over IP Private Branch Exchange telephone system solution for approximately 160 users throughout the agency. The agency needs to replace its current telecommunications setup with a modern, scalable, reliable, and feature-rich communications platform. This new system must enhance communications between staff, students, families, and community stakeholders while reducing administrative complexity and ongoing maintenance requirements. The scope of work requires the selected provider to handle system design and planning, which includes reviewing the current telecommunications environment, conducting a project kickoff meeting, developing an implementation plan, and designing the call flow architecture. The agency requires hardware consisting of approximately 160 VoIP desk phones, receptionist or attendant console phones as required, and administrative office phones. Required software and licensing must cover user licenses, voicemail licenses, and unified communications licenses. Installation and configuration duties involve configuring all phone handsets, user extensions, auto attendants, and voicemail. The provider must manage number porting and cutover by coordinating with current telecommunications providers, porting all existing agency telephone numbers, developing a migration plan that minimizes disruption to operations, and providing on-site or remote support during the cutover. The agency also requires the delivery of complete system documentation. Eligible bidders must be onshore organizations based in the United States. Performance of the contract work must take place onsite at the agency facility in Negaunee, Michigan. The agency is currently looking for proposals to establish the budget for this project.
