The agency requires a single institutional solution to manage internal staff bookings, external rentals, departmental events, and cross-references between booking owners. The scope of work covers the software, services, and support needed to implement and operate the platform. The requested solution must support scheduling rules, room and resource data, conflict checking, optimization, approvals, reporting, and integration with the Anthology Student student information system. The platform must also feature two-way integration with Microsoft Outlook and Exchange, APIs and data exchange capabilities, and real-time or scheduled synchronization. The agency requires robust security and administrative features, including access controls, authentication, encryption, and audit logging. The platform must support a controlled process for schedule changes, exam changes, and room booking approvals, alongside improved reporting for room utilization, scheduling quality, conflicts, and booking activity. The agency plans to award a contract with a duration of two years. Eligible bidders must be onshore organizations located in Canada only. The performance of all work under this contract will take place offsite.
