Video Surveillance Server Replacement Service

The agency is seeking a qualified contractor to replace two existing video surveillance servers, migrate all stored data to the new servers, and physically install the replacement servers in the existing server rack. The project aims to upgrade the current surveillance infrastructure while preserving approximately 280 TB of existing recorded video data. The selected contractor must demonstrate specific expertise in exacqVision video management software and licensing. The scope of work requires a pre-installation assessment and planning phase to document the current exacqVision software version, licensing, configuration settings, camera assignments, and recording schedules. The contractor must develop a detailed data migration and cutover plan, identify risks, and submit a project schedule for agency approval before work begins. The contractor must then perform a complete, verified backup of the 280 TB of data, transfer it to the new servers using secure methods that preserve file integrity, and verify the data post-migration. The physical installation phase requires decommissioning and removing the two existing servers, mounting the new servers in the existing rack, and managing all cable routing and labeling. The contractor must coordinate with agency IT and facilities staff for rack access and downtime windows. The new servers must provide a minimum of 400 TB usable post-RAID storage to support the current 258 cameras and future expansion. Testing and commissioning tasks require the contractor to conduct end-to-end system testing to confirm all 258 cameras are recording and accessible on the new servers. The contractor must verify live and recorded video playback, motion detection, configured alerts, and the proper activation of exacqVision licenses. All work must be performed on-site at the agency facility. Eligibility is restricted to onshore USA organizations only. Bidders must attend a mandatory pre-bid on-site visit scheduled for June 12, 2026.
