Cloud-Hosted Course, Exam Scheduling, and Ad Hoc Room Booking Platform

The issuing agency is seeking a cloud-hosted, Software as a Service platform to manage credit and non-credit course scheduling, centralized exam scheduling, and institutional ad hoc room booking. This initiative aims to reduce manual schedule building and conflict checking while improving the student experience through easier access to schedules and exam information. The agency requires a single institutional solution to manage internal staff bookings, external rentals, departmental events, and cross-references between booking owners. The scope of work covers the software, services, and support needed to implement and operate the platform. The requested solution must support scheduling rules, room and resource data, conflict checking, optimization, approvals, reporting, and integration with the Anthology Student Student Information System. Additionally, the platform must feature two-way integration with Microsoft Outlook and Exchange, APIs and data exchange capabilities, and real-time or scheduled synchronization. The agency requires robust access controls, authentication, encryption, and audit logging to secure the cloud environment. The platform must improve room utilization by applying rules, constraints, room attributes, and optimization tools, while supporting a controlled process for schedule and exam changes. The resulting contract will span a two-year period, and the performance of the work will take place offsite. Eligibility is restricted to onshore organizations based in Canada only.
