VoIP Private Branch Exchange Telephone System Replacement and Implementation Services

The Marquette-Alger Regional Educational Service Agency in Negaunee, Michigan is seeking a complete Voice over IP Private Branch Exchange telephone system solution for approximately 160 users throughout the agency. The agency needs to replace its current telecommunications environment with a modern, scalable, reliable, and feature-rich communications platform. This new system must enhance communications between staff, students, families, and community stakeholders while reducing administrative complexity and ongoing maintenance requirements. The scope of work covers system design and planning, which includes reviewing the current telecommunications environment, conducting a project kickoff meeting, developing an implementation plan, and designing the call flow architecture. The agency requires hardware consisting of approximately 160 VoIP desk phones, receptionist or attendant console phones as required, and administrative office phones. Software and licensing requirements include user licenses, voicemail licenses, and unified communications licenses. The selected provider must handle installation and configuration by configuring all phone handsets, user extensions, auto attendants, and voicemail. The project also requires number porting and cutover services to coordinate with current telecommunications providers, port all existing agency telephone numbers, develop a migration plan that minimizes operational disruption, and provide on-site or remote support during the cutover. Finally, the provider must deliver complete documentation for the new system. Eligibility is restricted to onshore organizations based in the United States. The performance of the work must take place onsite at the agency facility in Negaunee, Michigan. The agency is looking for proposals to determine the budget for this project.
