Video Surveillance Server Replacement Service

The agency is seeking a qualified contractor to replace two existing video surveillance servers, migrate approximately 280 TB of stored video data to the new servers, and physically install the replacement servers in the existing server rack. The project requires a minimum of 400 TB of usable, post-RAID storage to support the current count of 258 cameras and allow for future expansion. The selected contractor must demonstrate specific expertise in exacqVision video management software and licensing. The scope of work begins with a pre-installation assessment and planning phase to document the current exacqVision software version, licensing, configuration settings, camera assignments, and recording schedules. The contractor must develop a detailed data migration and cutover plan, identify risks, and submit a project schedule for agency approval before work begins. The data backup and migration phase requires performing a complete, verified backup of the existing 280 TB of data, preserving all file integrity, timestamps, and metadata, and replicating all existing camera configurations, recording schedules, user accounts, and system settings on the new servers. For the physical installation, the contractor must decommission and remove the two existing servers, mount the new servers in the existing rack, manage all cable routing and labeling, and coordinate with IT and facilities staff for rack access and downtime. The testing and commissioning phase requires conducting end-to-end system testing to confirm all 258 cameras are recording and accessible, verifying live and recorded playback, and confirming that exacqVision licenses are properly activated and registered. Eligibility is restricted to onshore, USA-only organizations, and the performance of the work must be conducted entirely onsite. Bidders must attend a mandatory pre-bid on-site visit scheduled for June 12, 2026.
