Print and Mail Solution

The agency is seeking a vendor to provide a fully hosted print and mail services solution. This system must interface with existing and future water applications and systems, allowing personnel to search for accounts by account number and service address at a minimum. The required solution must allow the agency to reject specific bills, letters, and notices within a given file before processing. Integration with VertexOne Customer Advantage portal is required to enable customers to start and stop service, view and pay bills, see daily water usage, and set leak alerts via SMS or email. The system must allow personnel and customers to view archived bills within the interface and the VertexOne portal, while archived letters and notices must be viewable via SAP Document Advantage. The selected vendor must provide customer support to agency personnel during business hours and establish clear procedures for after-hours support. Only onshore organizations based in the United States are eligible to bid on this opportunity. The selected vendor will perform all work offsite over a contract period of five years. Bidders must submit their proposals digitally via email or through the online portal, and the agency is currently looking for proposals to determine the budget. The agency has scheduled a mandatory pre-bid meeting for June 23, 2026. Bidders must submit all questions regarding this procurement no later than June 30, 2026. The agency will evaluate proposals based on the bidder's ability to meet all stated technical integration and hosting requirements.
