RFI for School Visitor and Volunteer Management System

The agency is seeking a comprehensive school visitor and volunteer management system to enhance campus safety and streamline administrative processes. This initiative aims to solve the challenge of manually tracking campus guests and volunteers by implementing an automated, secure solution. The requested system must include implementation services, ongoing technical support, and continuous system maintenance. The scope of work covers secure web-based and mobile-accessible functionality that integrates seamlessly with the student information system to keep student, staff, and school data current. The system must perform identification scanning, visitor verification, background check integration, volunteer tracking, and badge printing during check-in and check-out. Additionally, the software must update its sex offender database at least once per week and utilize false-positive matching logic to prevent incorrect flagging of non-offenders. Eligible respondents must be onshore organizations based in the United States. The agency allows the performance of the work to take place either onsite or offsite. While the agency is currently looking for proposals to determine the budget, all clarifying questions regarding this request must be submitted no later than June 17, 2026.
