Audio Visual Services

The City of Clermont, Florida is seeking a qualified vendor to provide comprehensive audio visual services for various municipal events. The agency requires technical production support, setup, operation, troubleshooting, load-in, and load-out services to ensure the successful execution of meetings, conferences, ceremonies, theatrical performances, concerts, and community events. These services must be available during regular business hours, after hours, weekends, holidays, or other times as determined by the city based on specific event needs. The scope of work covers audio, lighting, video, stagehand labor, and related event support services. Audio requirements include system setup, operation, mixing, monitoring, cabling, microphone placement, wireless microphone support, and troubleshooting. Lighting tasks involve setup, focus, programming, operation, cueing, strike, and troubleshooting, while video services encompass camera operation, switching, projection, graphics, signal routing, recording support, and troubleshooting. The selected vendor must provide stagehand labor for deck work, carpentry, risers, soft goods, wardrobe support, and general production needs, alongside followspot operation for rehearsals and performances. The agency also requires close coordination with city staff before, during, and after events, as well as vendor familiarization with city venues, equipment, policies, and operating procedures. Although the performance of the work will take place offsite, eligibility is restricted to onshore USA organizations only.
