Event Planning Services

The issuing agency is seeking a vendor to provide event planning services to assist with planning, coordinating, and executing downtown events on an as-needed basis. The agency needs to solve the logistical challenges of managing downtown events by outsourcing event concepts, themes, timelines, and event plans. The scope of work covers coordinating vendors, participants, entertainers, volunteers, and service providers, as well as assisting with event layouts, setup plans, signage, and event-day logistics. The selected contractor must coordinate with agency departments regarding public safety, parking, road closures, vendor access, and cleanup. The project requires the contractor to manage event flow and run-of-show, provide all staffing needed for setup, event-day coordination, and post-event follow-up, and deliver a short post-event summary report to the Manager. The agency requires all work to be completed within the approved event budget and agency guidelines under a contract period of one year. Eligibility is limited to onshore organizations based in the United States, and the performance of the work must be onsite. The agency is looking for proposals to determine the budget and has not disclosed a specific funding limit. The agency will host a pre-bid conference on June 29, 2026, and bidders must submit all questions no later than July 13, 2026.
