Conference Badging Services

The government authority located in Texas is seeking a vendor to provide conference badging services. The agency needs to solve the logistical challenge of managing registration and badge creation for an upcoming event. The scope of work requires the selected vendor to provide networking and equipment for three total registration areas, which includes adding two networking setups to the one already contracted. The vendor must supply wireless networking hardware for On Arrival 360, which requires power and a hard-line internet connection. Each networking appliance must support up to four printers. The agency requires comprehensive services including project management, badge creation and configuration, badge testing, configuration of OnArrival settings, training, and the procurement and logistics management of badge stock and hardware. The selected vendor must perform pre-event planning and logistics, which covers coordination calls, timelines, badge setup, hardware orders, training, and configuration. All work must be performed offsite at the vendor's own office premises. Eligible bidders must be onshore organizations located within the United States. The agency is currently looking for proposals to determine the budget for this project. All questions regarding this opportunity must be submitted to the agency no later than July 6, 2026.
