Record Storage and Retrieval Records Management Services

The agency is seeking record storage and retrieval records management services for a government authority located in Trenton, NJ. The agency requires a contractor to establish and maintain a computerized indexing system for records stored at a facility. The contractor must provide space for a minimum of 500,000 boxes at contract initiation, with the potential need to exceed 700,000 boxes. The scope of work includes providing storage space for all records presented by using agencies. The contractor will also be responsible for training the using agency in the proper use of the index system and its data elements. The contractor must provide indexed folder or box retrieval and delivery to the using agencies' locations by the end of the next business day following a request. Emergency retrieval and delivery services, including tele facsimile and electronic transfer, must be provided within six hours of an emergency request. A procedure for retrieval during emergency hours, requiring a signature from an authorized person, must be established. The contractor must allow on-site review of state materials stored at the contractor's facility during normal business hours within two hours of a request. Removal of any indexed item, box, or folder to the state archives or another state-owned facility is also required. The contractor is responsible for the initial pick-up of all records from the incumbent. A minimum of two record viewing rooms per facility must be provided. Performance of the work will be offsite. Eligibility is limited to onshore (USA Organization Only) entities. Proposals are being sought. A pre-bid optional meeting will be held on July 24, 2026.
