The government authority in Virginia requires an experienced event planning and management agency or consortium of agencies to provide recruitment services for the Francophone Symposium. The selected vendor must co-design, communicate, organize, and implement the event offsite. Requested scope includes identifying speakers and facilitators, maintaining a speaker database, preparing invitations, managing follow-ups, and gathering biographies and photos. The vendor must organize preparatory sessions, supply briefing notes and templates, evaluate material quality, and minimize overly long or promotional presentations. Additional responsibilities include coordinating speaker logistics, providing operational event control, arranging security, first-aid, and incident management, and delivering reusable tools, checklists, and dashboards for future use.
