Hotel Accommodations and Conference Services

The New York State Unified Court System is seeking hotel accommodations and conference services for approximately one-hundred and fifty attendees at a domestic violence and integrated domestic violence conference in Hudson, New York. The agency requires a venue that can provide lodging, dining, dedicated meeting spaces, and audio-visual support. This procurement aims to secure a single facility capable of hosting the entire event program seamlessly. The scope of work covers comprehensive dining services, including a full breakfast with hot and cold beverages, and a lunch buffet with hot, cold, and vegetarian options, desserts, and assorted drinks. The venue must provide a registration space, a large meeting room with a minimum capacity of 175 seats, and separate breakout rooms. Required audio-visual equipment includes a podium with a microphone, a projection package, standard wireless microphone systems, and handheld or tabletop microphones. The selected facility must also provide hotel access for agency security personnel, parking, complimentary luggage storage, internet service, and dedicated hotel program coordination. Only onshore organizations based in the United States are eligible to submit proposals for this onsite work. The agency is currently looking for budget proposals, and bidders must submit all questions regarding this opportunity no later than June 12, 2026.
