Horticultural Conferences Event Planner Services

The agency is seeking a vendor to plan, coordinate, and deliver two horticultural conferences and one tradeshow in January and February 2027. This project requires close collaboration with the agency to handle all aspects of event execution. The selected vendor must manage the entire event lifecycle to ensure the successful delivery of these horticultural gatherings. The scope of work covers the preparation and submission of a detailed workplan and regular progress updates for each event. The vendor must manage event logistics, which includes providing on-site support during each conference. Communication tasks involve preparing and sharing logistical information with pre-confirmed speakers. For promotion and materials, the vendor must prepare both online and printed programs for each conference. The vendor is also responsible for managing registration, coordinating catering, and developing and executing approved sponsorship packages. Additionally, the scope includes tradeshow coordination and delivery, followed by a feedback and project wrap-up phase. Eligible bidders must be onshore organizations located in Canada. The performance of the work must take place onsite at the event locations. The agency has not disclosed a specific budget and is currently looking for proposals to determine the cost.
