Children’s Justice Conference Service

The Washington State Administrative Office of the Courts is seeking a vendor to provide meeting space, catering, and audio-visual support for the 2027 Children’s Justice Conference in Tacoma, Washington. The agency requires a venue with one plenary or ballroom space capable of seating 1,300 attendees for opening plenary sessions, keynote speeches, breakfast, and lunch. The selected provider must also accommodate special presenter requests such as podiums and easels. The scope of work covers full audio-visual support for the plenary and keynote speeches, including screens, projectors, stage lighting, and microphones. The agency also requires standard audio-visual support for all breakout rooms, which must include projectors, microphones, screens, and laptop connections. Additionally, the provider must supply comprehensive event support, including facility support staff, security, ushers, and other personnel necessary to run the event. Bidders must submit a detailed breakdown of costs for additional tables, chairs, linen, power access, and other miscellaneous expenses that may arise during final planning and the event launch. Eligibility is restricted to onshore organizations based in the United States, and all contracted work must be performed onsite at the Tacoma venue. The agency is currently looking for proposals to establish the budget, and bidders must submit all questions regarding this opportunity no later than June 22, 2026.
