Senior Meeting Planner Services

The agency is seeking a vendor to provide senior meeting planner services to manage programs in Toronto and Montreal. The selected vendor must handle master event timeline development, ongoing management through event close, and communication calendars for all internal and external stakeholders. The scope of work covers complex audiovisual and production design, specification, on-site management, and venue contract negotiations, amendments, and agency review and approval. The project requires budget stewardship, including tracking, reconciliation, variance reporting, and final budget close-out through mid-November 2026. The agency also requires day-of operations leadership, hotel and venue management, branding and marketing coordination, agency coordination, and stakeholder communication. Additionally, the vendor must execute venue sourcing and execution for the CEO track. Only onshore organizations based in the United States are eligible to bid on this opportunity. The performance of all requested work will take place offsite. The agency is looking for budget proposals from bidders to determine the cost of these services. All questions regarding this procurement must be submitted to the agency no later than June 17, 2026.
