RFI for Comprehensive Event Management Planning Services

The issuing agency is seeking comprehensive event management planning services to support domestic and international projects. These projects range from small workshops to large-scale conferences with up to 5,100 attendees. The agency requires these events to be deliverable in in-person, virtual, or hybrid formats. The scope of work covers venue and platform selection for all event formats, along with automated confirmation systems and digital access links. The agency requires secure, licensed virtual platforms, such as Zoom, Teams, or Webex, that feature breakout rooms and simultaneous interpretation capability. To support these events, the agency needs high-definition cameras and microphones for streaming, translation services, and dedicated IT support. Bidders must be onshore organizations based in the United States. The agency requires the performance of all work to take place offsite. The agency is currently looking for proposals to determine the budget for this initiative.
