Conference Services

The government authority located in Minnesota is seeking a contractor to provide comprehensive conference services. The agency needs to solve the logistical challenges of hosting an event by securing integrated lodging, parking, and conference facilities. The scope of work requires the contractor to manage attendee check-in and check-out, including providing a secure room for luggage storage if guest rooms are not ready or after check-out occurs. The lodging facility, conference facility, and parking must be located within one-quarter mile of each other, or the contractor must provide complimentary shuttle services between the sites. The contractor must also provide ample parking for all attendees and manage the complete event set-up. Additionally, the contractor must provide access to an on-premises business center equipped with a computer, internet, a printer, copying equipment, and a fax machine. Eligibility is restricted to onshore organizations based in the United States. The performance of the work will take place offsite at the contractor-provided facilities. The agency is looking for proposals to determine the budget for these services. All questions regarding this procurement must be submitted to the agency no later than June 25, 2026.
