Parks and Recreation Program Registration, Management and Payment Software

The City is seeking a vendor to provide a cloud-based parks and recreation program registration, management, and payment software system. This system must support program administration, customer engagement, financial processing, reporting, and secure data management. The agency requires a solution that handles online and in-person program registration, facility and park rental management, membership management, waitlists, and cancellations. The scope of work covers payment processing and point-of-sale capabilities, including refunds, EMV-compliant chip readers, printed and digital receipts, and daily cash drawer balancing for multiple locations. The system must feature a mobile-friendly public interface, an intuitive staff dashboard, a mobile application for Android and iOS, and marketing and communication tools with calendar synchronization. For financial integration, the software must generate export files compatible with the City's financial system, including general ledger coding fields, transaction-level details, and customizable export templates. Eligible bidders must be onshore organizations based in the United States. The selected vendor will perform all work offsite. Bidders must submit their proposals digitally via email or online, and the agency is looking for proposed budget figures within the submissions.
