Agenda Management System

The City requires an automated, user-friendly agenda management system. The system must include an agenda management workflow with approval processes, allow staff to create administrative reports and assemble agendas, and provide public access and search functionality for agendas and supporting materials. It must also create meeting minutes and integrate with the City's existing website. The system needs to be accessible via Apple and Microsoft products, smartphones, tablets, and desktop computers, and compatible with the City's technology and network infrastructure. Key functionalities include automated workflow for agenda items, version control, ability for item authors to insert specific information and retain control over edits, and the capability to add or delete staff from the workflow uniquely for each item. The system should also support customizable templates, email notifications, noting item locations on an agenda index, and viewing future meetings on a calendar. The contract period is one year. All questions must be submitted no later than August 21, 2026. Bidders must be an onshore USA organization. Performance of the work will be offsite. Responses can be submitted digitally via email or online. The City is looking for proposals.
