Administration Professional Services

The City of Troy, New York, requires administration professional services for the Troy Turkey Trot Road Race. Scope of work encompasses full event management, including timeline and budget creation, course design, USATF sanctioning, sponsorship procurement, marketing, public relations, website and online registration, volunteer recruitment, packet pick-up, timing, crowd/traffic control, logistics, start/finish staging, equipment, community initiatives, and charitable donations. In 2027, the selected vendor must pay the city a $60,000 fee for city department work, followed by a 5% increase on the original fee each subsequent year, and submit a final profit and loss statement upon completion. Eligible applicants are USA onshore organizations. Vendors must submit one original and two copies of their proposal in a sealed envelope marked with their name and address by November 4, 2026, at 11:00 AM EST, with questions due no later than October 16, 2026. Applicants must provide a list of references from previous road races and satisfy all city insurance and prevailing wage requirements. The city bases its award selection on cost for services, previous experience, and references. The contract term is three years with an option to extend for up to two additional years.
