Remote Real-Time Captioning and Recording Services

The agency requires remote real-time captioning, near-verbatim meeting minutes, and onsite reporting and transcription services on an open-end basis for a one-year contract. The vendor must provide remote real-time captioning and near-verbatim minutes for live televised meetings, alongside onsite reporting for non-televised meetings, workshops, and advisory board meetings. Onsite reporters must arrive 30 minutes prior to meetings and meet a one-hour minimum appearance requirement. Captioning vendors must complete an iCap Encoder connection test 30 minutes before sessions and deliver raw transcripts in Microsoft Word format immediately or within 24 hours post-meeting. The vendor must also deliver near-verbatim minutes in Word format within 21 calendar days for both televised and non-televised meetings. Work occurs onsite and offsite, and eligibility is restricted to US organizations only. The agency seeks proposals for the budget and accepts digital submissions via email or online. Bidders must submit all questions no later than September 21, 2026.
