Festival Event Coordination Service

The City of Collegedale seeks a contractor to provide full-service festival event coordination for the 2027 Freedom Fest, taking place on Sunday, July 4th, 2027. The requested scope encompasses complete planning, vendor management, logistics, on-site operations, and post-event reporting. Specific duties include developing a master project plan and marketing strategy, scheduling live music, recruiting a balanced mix of food trucks and exhibitors, securing required permits, verifying documentation, and assigning vendor booth locations across designated festival sites. Eligible bidders are limited to onshore USA organizations. Sealed bids must be returned to Michelle Toro, Purchasing Officer, at Collegedale City Hall by October 29th, 2026, at 2:00 PM EST, at which time a public opening will occur. Bids may also be submitted digitally via email or online. The City evaluates proposals to accept the lowest, most responsive, and responsible bidder, with final approval required from the Collegedale City Commission.
