RFP Data Methodology
This page explains how the free Craxy AI RFP database is built, what its quality controls do, and what bidders should verify before relying on a listing. Last verified 2026-07-10.
Upstream source
Craxy AI currently uses RFPmart as its upstream catalog. RFPmart aggregates government and enterprise procurement listings. Craxy AI does not claim a direct integration with every public portal represented in that catalog.
Refresh schedule
A scheduled crawl starts nightly and walks every configured RFPmart category. New opportunities are added, known live listings are refreshed, and the crawl continues across pages so an earlier interruption does not permanently hide an opportunity.
Duplicates
Listings use a stable fingerprint derived from source identifiers and normalized listing data. Existing fingerprints are updated instead of inserted again. Craxy AI also audits the catalog for duplicate solicitation numbers and overlapping records.
Documents and extraction
When RFPmart exposes source attachments, Craxy AI downloads all available files, stores a cached copy, records file metadata, and extracts text where the format supports it. A missing cached document does not mean the buyer published no documents; source access can change or fail.
Descriptions and AI assistance
Document-backed opportunities may receive an AI-generated plain-English description. The goal is to improve readability without changing concrete dates, eligibility, deliverables, budgets, or submission requirements. Listings without sufficient unique content are kept out of the search index.
Deadlines and closed listings
Opportunities whose deadlines have passed are removed from live search results automatically. Previously indexed pages can remain available as closed reference pages so links do not break, with open alternatives shown where possible.
What bidders must verify
Craxy AI is a discovery and proposal-workflow tool, not the issuing agency. Before bidding, verify the final deadline, amendments, eligibility, required forms, delivery method, and submission instructions in the original solicitation and source documents.
