Digitization Services

The Government of Canada is seeking a qualified domestic vendor to provide comprehensive digitization services for its analogue records. The agency needs to transition physical documents into high-quality digital formats to improve accessibility, preservation, and data retrieval. This initiative aims to solve the challenges of managing physical archives by establishing a streamlined, secure, and quality-controlled scanning and indexing pipeline. The scope of work covers document preparation, scanning and imaging, metadata creation, indexing, and referencing. The contractor must perform image and metadata quality control, execute re-scans or re-images as needed, conduct overall quality assurance, and securely transfer the finalized data. Additionally, the project requires the transportation of analogue records, secure storage, the ability to retrieve records in any form during the process, and the creation of a comprehensive digitization procedures manual with supporting documentation for each digitization. Eligibility is strictly limited to onshore Canadian organizations. The agency allows the performance of the work to take place either onsite at government facilities or offsite at the contractor's secure location. The agency is currently looking for proposals to determine the budget and has not disclosed a pre-set funding limit or specific key dates in the initial solicitation.
