ELCNWF Request for Proposals for Provider Conference Event Planning Services

The Early Learning Coalition of Northwest Florida (ELCNWF) seeks proposals from vendors to provide comprehensive event planning services for a regional provider conference supporting professionals who work with children from birth to 12 years old. The selected vendor must handle complete pre-event planning, on-site setup, event management, post-event management, registration, caterer oversight, attendee and speaker accommodation bookings, and sponsor solicitation. Work will be performed offsite. Only onshore USA organizations are eligible to submit proposals. Submissions must be sent electronically in PDF format by November 30, 2026, at 1:00 PM CDT, and all questions must be submitted by November 10, 2026. Proposals must not exceed 10 pages, must be double-spaced in 12-point font, and must include a detailed budget alongside all mandatory exhibits and attachments. ELCNWF will evaluate proposals based on technical merits and price using an initial pass/fail compliance screening and a quantitative evaluation score.
